Section 20: The fair begins!
The public will be anxious for your fair to begin, and they will begin to arrive as the start time nears. At this point, the set-up duties will be complete, and volunteers will begin covering their duties for the event. Depending on how you've organized your volunteers, their duties may change once the fair begins. In addition to covering the responsibilities specific to your event, someone will need to cover the following tasks throughout the day:
Volunteer check-ups: Rotate through booths periodically to check on volunteers and displays.
Vendor/exhibitor check-ups: Rotate through vendor and exhibitor booths periodically to answer questions or troubleshoot.
Schedule checks: To keep the day on schedule, designate a volunteer to keep track of the schedule and check to be sure events are starting on time.
Announcements to attendees: You will need to designate someone to announce events and demonstrations throughout the day and change any signs or schedule boards announcing the daily events. This person is often one of the main organizers of the food fair, if he or she has had high visibility at the fair.
Demonstration/lecture reminders: Lecturers or those in charge of demonstrations should be given advance warning. Volunteers helping with set-up or re-arrangement of the area between demonstrations should also be reminded of the schedule.
Volunteer rotation: Volunteers may need a break from time to time, especially at lunch or dinnertime. Coordinate these rotations to avoid leaving booths empty.
Inventory replacement: Check your organization's booths to make sure they are stocked with brochures, leaflets, information, and merchandise.
Cash box relief: During the day, it is helpful to have a volunteer relieve money from your organization's boxes so that they do not contain large amounts of cash during the fair. TOP
