Section 25: Following up with volunteers

Volunteers are what make a food fair possible. Without a dedicated group of volunteers, it would be impossible to organize or hold a vegetarian food fair. You should be sure to thank all the volunteers who participated, especially those outside your organization. Community groups, campus or high school organizations, and businesses, libraries, hospitals, or other establishments that provided volunteers should receive thank-you notes and a brief update about the success of the food fair. You should also place these groups on your newsletter mailing list so that they receive your "official" coverage of the event and other events your organization organizes or participates in. They should also be the first to receive word about future food fairs so they can consider participating again. Be sure to place the names of these groups or individuals in your database when you update the fair planning materials (see Section 26).

In addition to sending a thank-you letter, you might consider inviting volunteers to your next meeting or to a special meeting you plan to discuss the fair. By holding a special meeting, you'll have a chance to interact once more with volunteers and discuss their impressions of the event. They'll have a chance to give input and discuss the event from the perspective of their organization, which provides unique input about the planning of the event and the event itself, and may suggest ways in which next year's planning or the event itself can be improved. You should ask volunteers to keep their eyes open for publicity that the fair receives after it is over.

If holding a meeting is not possible (and it is rarely easy to find a time that suits everyone), you could include with a thank-you letter a survey similar to that sent to participants (see Section 23) to learn more about the experiences of food fair volunteers. Most likely, many of the volunteers will come from organizations that participated in the fair as sponsors, vendors, or exhibitors. You'll need a separate letter, however, for those whose group was not present at the fair or for those who found out about the event and volunteered on their own.     TOP
